Service Terms - Your Wing Woman

These Terms apply when you (the “Client”) purchase our services (e.g., social media management, coaching, workshops).

1) Services & scope

Your Wing Woman Socials deliver the services described in our proposal, email, or invoice (the “Scope”). Anything else is out of scope and may require a new quote. We’ll perform services with reasonable care and skill and in line with NZ law.

2) Your responsibilities

Please supply timely information, approvals, access (e.g., to social accounts), brand assets, and any required disclaimers or compliance wording. You warrant you have rights to all material you provide and that it’s lawful, accurate, and non-infringing.

3) Content approvals

Your Wing Woman Socials send drafts for your review. Unless we agree otherwise, fees include up to two rounds of minor revisions per deliverable. If we don’t hear from you within 3 business days, we may treat content as approved so we can keep to schedule.

4) Scheduling & posting

We’ll use reasonable efforts to schedule content as agreed. Platforms can experience outages or policy changes—we’re not responsible for third-party platform issues beyond our control.

5) Fees, GST & payment

All prices are exclusive of GST unless stated. Retainers are billed monthly in advance; project work may require a deposit. Payment is due 7 days from invoice. We may pause work for overdue invoices and charge reasonable recovery costs and interest on late amounts.

6) Expenses

Pre-approved out-of-pocket costs (e.g., stock imagery, paid ads, travel) will be invoiced at cost plus any agreed admin fee.

7) IP & portfolio use

Once you’ve paid in full, you own the final, paid-for deliverables created specifically for you (excluding our tools, processes, templates, and pre-existing materials—our “Background IP”). We retain the right to display non-confidential work in our portfolio and on our channels. Third-party materials (e.g., fonts, stock) are licensed to you per their terms.

8) Results not guaranteed

Your Wing Woman Socials can’t guarantee reach, followers, or sales. Marketing outcomes depend on many factors outside our control (industry, budget, product, seasonality, platform algorithms, etc.).

9) Cancellations & rescheduling

  • Retainers/ongoing work: Either party may end the engagement with 14 days’ written notice. You’ll be invoiced pro-rata for work done to date.

  • Coaching/workshops: Please give 48 hours’ notice to reschedule. No-shows or late cancellations may be charged in full.

10) Confidentiality

Each party will keep the other’s non-public information confidential, except where disclosure is required by law.

11) Limits on liability

To the maximum extent permitted by law, our total liability for any claim is limited to the fees you paid to us in the 3 months before the event giving rise to the claim. Nothing here limits your rights under the Consumer Guarantees Act or Fair Trading Act.

12) Force majeure

We’re not liable for delays or failures caused by events beyond our reasonable control (e.g., outages, emergencies, illness, natural disasters).

13) Disputes

Let’s talk first and try to resolve issues promptly. If needed, we’ll consider mediation in New Zealand before court. NZ law applies.

We respect your privacy and handle personal information in line with the Privacy Act 2020.

1) What we collect

  • Contact details (name, email, phone, business name, social handles).

  • Project and billing information (invoices, proposals, service history).

  • Website data (pages viewed, device type, IP address, cookies/analytics).

  • Coaching/workshop sign-ups and feedback.
    We collect this from you directly, from publicly available sources (e.g., your social profiles), and via our website and tools.

2) Why we collect it

  • To respond to enquiries and provide our services.

  • To send invoices, manage our relationship, and keep records required by law.

  • To improve our site and services, and (with your consent) send updates or marketing you can unsubscribe from at any time.

  • To protect our legal rights and comply with our obligations.

3) Cookies & analytics

Our site may use cookies and analytics (e.g., Google Analytics) to understand traffic and improve user experience. You can change your browser settings to refuse cookies, though some features may not work as intended.

4) Sharing your information

We may share personal information with trusted service providers (e.g., website host, email/CRM, payment and accounting platforms, scheduling and social media tools) who assist us to operate our business. Some providers may be overseas (e.g., Australia, the US). Where we disclose information overseas, we take reasonable steps to ensure it’s protected in line with the Privacy Act 2020 (including IPP 12 cross-border disclosure requirements).

We may also disclose information if required by law, to enforce our terms, or to protect our rights, property, or safety.

5) Security & retention

We take reasonable steps to protect personal information against loss, unauthorised access, or misuse. We keep records only as long as needed for the purposes above and to meet legal/tax requirements (commonly up to 7 years), then securely delete or anonymise them.

6) Your rights

You can ask to access the personal information we hold about you and to correct it if it’s wrong. Email us at [add your contact email]. If you’re unhappy with our response, you can contact the Office of the Privacy Commissioner (privacy.org.nz).

7) Marketing

If you’ve opted in, we may send you updates. You can unsubscribe at any time using the link in the email or by contacting us.

8) Changes to this policy

We may update this policy and will post the new version on our website. Changes take effect when posted.
